Staying in touch with your attendees before, during, and after an event is one of the most effective ways to reduce no-shows, build excitement, and keep your community engaged. KonfHub’s Contact Attendees section gives you a built-in multi-channel communication hub — no third-party email tool or WhatsApp Business setup required. You can send campaigns by email or WhatsApp, target specific ticket types, schedule sends in advance, and (on higher plans) track exactly how your messages perform.

Email Campaigns

KonfHub’s email campaign tool lets you compose and send messages directly to your registered attendees from within the dashboard. Every campaign is tied to your event, so your audience is always pre-filtered to people who have actually registered.

Campaign Allowances by Plan

The number of campaigns you can send per event depends on your plan:

Lite Plan

Up to 3 email campaigns per event. Standard templates with no custom branding.

Silver Plan

Up to 10 email campaigns per event. Customized email content with KonfHub headers and footers.

Gold Plan

Unlimited email campaigns per event. Fully custom headers and footers, plus a custom sender email address and campaign analytics.
The Freemium plan sends standard automated emails only (registration confirmation, reminders) — manual campaigns are not available. Upgrade to Lite or above to send custom campaigns.

Sending an Email Campaign

Open Contact Attendees

In your event dashboard, click Contact Attendees in the left navigation. Then select the Email tab.

Click 'New Campaign'

Select New Campaign to open the campaign composer.

Choose Your Recipients

Select who should receive this campaign:
  • All registered attendees — everyone who holds any ticket type for the event.
  • Specific ticket types — target only attendees with a particular ticket (e.g., “VIP Pass holders” or “Workshop Day 2”).
  • Checked-in attendees — people who have already checked in on the event day.
  • Not-yet-checked-in attendees — useful for day-of reminders.

Write Your Email

Enter a subject line and compose your message in the rich-text editor. On Silver and Gold plans you can use the customizable template to incorporate your event branding. On Gold, you can supply fully custom HTML for complete control over layout.

Schedule or Send Immediately

Choose Send Now to dispatch the campaign immediately, or select Schedule to pick a future date and time. Scheduled campaigns fire automatically — you don’t need to be logged in.

Confirm and Dispatch

Review the recipient count and subject line, then confirm. KonfHub queues the campaign and delivers it to your attendees.

Email Template Customization

On the Lite plan, emails are sent using KonfHub’s standard template. The event name and details are populated automatically. You can write custom body text, but the header and footer are fixed KonfHub branding.
Use a custom sender email on the Gold plan to significantly improve open rates. Emails from a recognizable brand address feel more trustworthy and are less likely to land in spam folders.

Email Campaign Analytics (Gold Plan)

On the Gold plan, each campaign displays a performance dashboard after sending:
  • Delivery rate — the percentage of emails successfully delivered to inboxes.
  • Open rate — how many recipients opened the email.
  • Click rate — how many recipients clicked a link in the email.
Use these insights to optimize your subject lines, send times, and content for future campaigns.

WhatsApp Campaigns

WhatsApp is one of the highest-engagement channels available to event organizers in India. KonfHub integrates WhatsApp Business messaging so you can reach attendees where they’re most active — no additional setup required.
WhatsApp campaigns are currently available to organizers in India only.

Send WhatsApp messages immediately using KonfHub’s pre-verified WhatsApp Business account. There’s no configuration needed — just compose your message using a pre-approved template and send. Ideal for getting started quickly.

Bring Your Own WhatsApp (BYOW)

Connect your own WhatsApp Business account to send campaigns from your brand’s verified WhatsApp number. Attendees see your business name and logo in the chat, keeping your brand identity consistent across every touchpoint.

Sending a WhatsApp Campaign

Open the WhatsApp Tab

In Contact Attendees, switch to the WhatsApp tab.

Select a Template

WhatsApp requires all business-initiated messages to use pre-approved templates. Select from KonfHub’s library of pre-approved templates — covering event reminders, schedule updates, registration confirmations, and post-event follow-ups.

Personalize the Template

Fill in the dynamic variables in the template (such as event name, date, venue, or a link) to tailor the message to your specific event and audience.

Choose Your Recipients

Segment your audience the same way as email — all attendees, a specific ticket type, or checked-in / not-yet-checked-in groups.

Schedule or Send Now

Send immediately or schedule the campaign for a future time. Scheduled WhatsApp campaigns are useful for early-morning event-day reminders.
WhatsApp only permits messages using pre-approved templates for business-initiated conversations. You cannot send free-form text until an attendee replies first. Always choose a template that accurately represents the message you want to convey.

Setting Up Bring Your Own WhatsApp

If you want campaigns to arrive from your own WhatsApp Business number rather than KonfHub’s, you can connect your account via the Advanced settings or the WhatsApp tab:

Go to Advanced Settings

Navigate to Advanced in the dashboard and find the Bring Your Own WhatsApp section.

Connect Your WhatsApp Business API

Enter your WhatsApp Business API credentials (available from Meta’s Business Manager). KonfHub will verify the connection.

Select Your Account When Composing

When creating a new WhatsApp campaign, choose Your WhatsApp Account as the sender instead of KonfHub’s default account.

Scheduling and Segmentation Best Practices

  • 7 days before: Send a “we’re almost there” excitement email with the event agenda or speaker highlights.
  • 1 day before: Send a logistics reminder (venue address, parking, what to bring) via both email and WhatsApp.
  • Morning of the event: A short WhatsApp message with the check-in link or QR code reminder works well.
  • 24–48 hours after: A thank-you email with a feedback form link and any post-event resources.
Segmenting by ticket type lets you send relevant information only to the people it concerns. For example, send workshop prep materials only to Workshop ticket holders, or VIP lounge details only to VIP pass holders. This reduces noise for attendees and improves engagement rates.
  • Use a custom sender email (Gold plan) that matches your domain.
  • Avoid excessive use of ALL CAPS, exclamation marks, and phrases like “FREE!!!” in subject lines.
  • Keep your email list clean — KonfHub automatically excludes attendees who have unsubscribed.
